Office administrator for a 150-person company. I manage all our maintenance and lab equipment ordering—roughly $80k annually across 8 vendors. I report to both operations and finance. When I took over purchasing in 2020, my first instinct was to find the absolute lowest price on everything. I thought that's what 'good procurement' meant. At $35/hour per person, the 'savings' cost us $140 in wasted labor. And that's just the direct cost. The project they were working on got pushed by a week. I've seen similar situations with calibration equipment. Skipping expedited shipping on an annual pH meter calibration service? The whole lab can't work until it's done. 2. The Time/Certainty Problem

What About Planned Purchases?

To be clear, I'm not saying you should pay rush fees for everything. For our quarterly stock order of standard tools and meters, we still use a slower, cheaper option. That's fine. My experience is based on about 200 orders in the mid-range equipment space over the last 4 years. If you're sourcing bulk commodities with long lead times, your experience might differ significantly. I've never fully understood the pricing logic of rush fees. They vary so much between vendors—from a flat $25 for next-day to a 60% premium for 'will call' pickup.

The Bottom Line

If you're a fellow admin buyer, my advice is this: When the need is urgent, pay for certainty. Identify the items that are critical to your operations—key sensors, meters, calibration services—and find a supplier who can deliver them fast, even if it costs a bit more upfront. The total cost of a slowdown or shutdown is almost always higher than the premium for a guaranteed delivery. After getting burned twice by 'probably on time' promises, we now budget for guaranteed delivery on critical spares. It saves money in the long run, saves my relationship with the plant floor, and saves my sanity. (I really should document this process formally for my team.)
